In this lesson, we’ll explore the different data you can pull from Upchain. We’ll cover reports and exports, and highlight the difference between them.
Reports in Upchain make it easy to summarize data and share it internally or with a third party. Let’s explore different reports available in the BOM interface.

Reports provide you with detailed information about specific items or assemblies within your BOM structure.

These reports can be shared or distributed either internally or externally outside of Upchain in file formats that everybody has access to.

One of the more specific reports we have access to through the BOM interface is the item details report.

This report grabs a lot of information contained within Upchain's Item Details panel.

To generate this report, we can simply click on the "More actions" button adjacent to the relevant assembly or component.

Select "Reports" and "Item details".

Upchain will generate the report and then send off an email notification to the email used to log in to the Upchain tenant.

We can then open the email, note that we are provided with the information about the report and now we can click on "Download" to access the file.

The email can also be forwarded on to other Upchain users. We can see that the item details report is delivered in PDF format.

When we open the report, we note that the data provided gives an overview of the item and pulls key information from the Item Details panel.

Also, keep in mind that this report can be attached to an item as a document or even attached to a markup with edits included.

The other type of report available is a BOM report.

As with our item details report, we select the "More actions" adjacent to the relevant part or assembly, click on "Reports" and "BOM Report".

In this case, we'll get a report on the top level assembly we selected as well as any children or sub-assemblies beneath it.

Once again, we are provided with an email that we can open up and download.

And we can see that the BOM report is presented in a different file format.

This report is different in that it contains eBOM attributes specific to only this bill of materials.

If we take a closer look at the information that has been pulled, we will see only eBOM specific attributes here such as eBOM path,

These attributes are specific to this BOM within this project.

Kitting number will be driven by the item type and allows for more customization than our item number.

So we can make use of this as an additional reference number both in and outside of Upchain if necessary.

Finally, we can expand the scope of our BOM report to include the entire project structure,

Now, rather than creating reports, let's explore ways in which we can extract this data from within Upchain directly.

Upchain gives us the ability to export our BOM items into Excel or to download files from within those items such as drawings,

documents and translations.

From the "More actions" button that we should now be familiar with,

there are a number of export options available to us depending on what kind of information we require.

"Export to Excel" is a unique export type in that it pulls the BOM for the selected item,

with children out into an Excel spreadsheet along with all the loaded attributes for that item or assembly.

When I open that file up, I can see that this Excel file is quite similar to the BOM report we looked at in the previous video.

The main difference is that this export is more intended towards internal use rather than just a flat report of the item we selected.

If we require only the CAD files within an item in Upchain, we can make use of export model,

and this will extract all CAD and drawings found within the selected item.

You may wish to export older versions of that item or even a previous working state.

Either way, if you use the export model function on an assembly, it will extract all CAD from the children as well.

In a similar fashion, you can hit More actions, Export drawing, Document,

or Translation options to pull the respective files from your chosen assembly, or component.

Do note that exporting an item's data in this way will pull the data attached to that specific item.

With Documents and Translations, we are given the options to select which file types we would like to extract.

For example, we may only want to extract PDF, Word, or Excel documents, or all of the above.

Remember that you can check the currently generated translations for any item by selecting the item, navigating over to Documents,

Specification documents, expand Translations and inspect what files may have been generated.

The Bulk Export option provides a way to quickly extract your choice of CAD models, drawings, translations,

and supporting documents all at once into a single zip file that can then be easily downloaded or distributed.

Here we can go More Actions, Export, Bulk Export.

This will bring up the first window that will ask us which items or objects we are looking to extract from.

eBOM is enabled by default, but we can switch to cBOM, if we are looking to narrow down the export to a more CAD centric selection of files.

We can expand out the cBOM to decide which files we would like to download from which models.

If we would like to access files for a previous version of the parent, we can select them from the drop down here.

We can also select from alternative saved states if we need to.

Once we've set our filters, we are free to choose which items or which files we would like to include in our export.

Simply check the top checkbox if you want them all. If we're happy with our selection, we can continue.

It is important to remember that the export will not generate any new translations for you without additional software hooked up to Upchain.

It will extract only the file types that exist within the item, and if you select file type that does not exist in the project, the bulk export will fail.
