In this session, we're going to go over how you can see what your permission role is,
00:15
how to change it, and how to create a permission role.
00:18
One way to see or modify which permission group a
00:21
person is in is to go to the People page.
00:24
Each person has a permissions group field where
00:27
you can see or change their permission group.
00:29
If the permission field is invisible,
00:32
you can bring the field into the People
00:34
page by going to Fields and selecting Permission Group.
00:38
Alternatively, to see or modify which permission group a person is in,
00:42
you can go to their user profile page and look
00:44
for the permission group field in the person info tab.
00:48
Not every user has permission to modify the permission group field.
00:53
If you require a higher level of access,
00:55
you will need to get someone with a higher permission level to change
00:58
your permission role or to change the access that your current role has.
01:03
New roles can be created and existing roles can be deleted,
01:07
but it's important to note that deleting a permission role cannot be undone.
01:11
It is advised that the built-in permission roles work as the default roles. If a
01:16
new role is needed,
01:18
the permission role that best matches to the required role can
01:21
be duplicated and then modified to work for your needs.
01:24
You might be wondering why you or your
01:26
company might need to create custom permission roles.
01:30
Let's consider an example.
01:31
A producer needs access to fields that contain sensitive financial information.
01:36
This information needs to be restricted with the default permission roles.
01:41
They would have to choose between the admin and manager roles.
01:45
Site administrators decide that they do not want producers to create new fields.
01:49
They only want them to be able to see and edit financial fields.
01:53
This would suggest that the manager role would
01:55
be a better choice than the admin role.
01:58
Say administrators also decide that they do
02:00
not want people with manager permissions to have
02:02
access to financial fields because there are many
02:05
types of users within that permission role,
02:08
including production coordinators and art leads.
02:11
To handle these requests,
02:12
site administrators do two things. A
02:15
new permission role is made called producer.
02:18
It is a duplicate of the manager permission role.
02:21
Next,
02:22
the field permissions for the manager role are updated
02:25
so that managers cannot see any financial fields.
02:28
Producers can now see and update financial information,
02:32
managers cannot see the financial information,
02:35
and admins don't have to worry about producers creating new fields.
02:39
You will start to learn what you can and cannot do
02:41
in Flow Production Tracking as you start to explore the site.
02:45
Some users won't have permission to see projects they aren't assigned to.
02:49
This site has 10 projects,
02:51
but Jordan can only see the two projects that she is assigned to.
02:55
Some users won't have permission to see the people page,
02:58
as in this example, where Flow Production Tracking is letting Andrew
03:02
know he does not have permission to view the people page.
03:05
Some fields won't be editable,
03:07
like in in this example, where Leo cannot change assignments or due dates on tasks.
03:12
By default, only admins can access the people permission settings.
03:17
If you're an administrator,
03:18
take the time to familiarize yourself with what the default
03:21
roles can and cannot do in Flow Production Tracking.
03:25
If you are a part of any permission role other than admin,
03:28
reach out to an administrator to confirm what your role does and does
03:32
not give you permission to see an update in Flow Production Tracking.

By default, only Admins can access the People Permission settings.
If a user is a part of any permission role other than Admin, they will need to reach out to an Administrator to confirm what their role does and does not give permission to see and update in Flow Production Tracking.
