In this video, we'll discuss how to use the dashboards for your project management needs, including the Main Project dashboard,
00:16
Default Project dashboard, Design, and Project Management dashboards.
00:20
So let's take a look.
00:26
The first dashboard you will see when you log into Upchain is the Main Project dashboard.
00:31
This dashboard provides you with an overview of all the projects you have access to in Upchain.
00:36
The main section of the dashboard shows you all the projects you have favorited.
00:41
You will also see for each project the status of Documents, Assignments or Tasks, and Items.
00:49
A single click on the Project opens a detail panel on the right hand side.
00:54
This provides similar information for the project with a breakdown of each category into Draft, Pending,
01:02
and Completed status for each task, document, or item, plus a list of team members.
01:10
The "View All" link allows you to dive further into the information presented in each section.
01:17
For example, I can click on the "View All" link under Assignments and navigate over to the Project Plan.
01:30
Along with the Project Overview, we also have the Activity Stream in the bottom left corner.
01:37
This shows you all the activity for the projects you have access to.
01:41
Each post will have a link where you can view the item, such as a change request and the team member who created the item.
01:48
You can click on each link to get more information on the activity or the team member.
01:55
Next to it, we have the "My Favorite" items section.
01:60
This section lists all of the items in project BOMs that you have added to your favorite list.
02:06
This allows you to quickly access items that you are working on or work with frequently.
02:12
The information provided here includes the item name, number, and status.
02:18
You can click on an item name, and you will get a pop up listing the projects that item is a part of.
02:27
From there, you can click on the project you wish to view the item in.
02:33
Next to it, we have the My Assignments section.
02:36
This lists all of the tasks that you currently have assigned to you for the projects you are working on.
02:44
The list is displayed oldest to newest, so any new assignments will be displayed on the bottom of the list.
02:50
As with the other sections of the dashboard,
02:53
you can click on the Assignment link or the Project link to navigate to the assignment or the project dashboard.
03:01
So along with the Main Project dashboard,
03:05
each project will have its own set of dashboards to help you view the project and get a better picture of its progress.
03:15
The main page in the project dashboard is called Default.
03:21
Essentially, your main view for the progress of your project.
03:25
This view provides an overview of the project with the three charts in the main section.
03:33
These charts display the progress of the assigned tasks in the project plan.
03:38
The tasks are displayed in Completed, Overdue, and Critical.
03:43
You will also be able to see the status of the tasks, such as Draft, Pending, or Completed.
03:52
The panel to the right displays information related to the project, including name, start date, team members, and status.
04:02
The chart below displays the tasks for the project.
04:05
Again, broken into different categories of Completed, Pending, Draft, and In Progress.
04:13
The way the information is displayed can be changed by right clicking on the report area and selecting another chart type.
04:20
For example, I can change the view of my project progress from the default line chart to a bar chart.
04:27
The last section in this dashboard view is the Activity Stream.
04:31
Similar to the one we saw on the Main Project dashboard,
04:34
this Activity Stream shows you all the activity for the project including Investigation Requests, Change Requests,
04:41
and Addition of Team Members.
04:44
Another view available to you is the Design dashboard.
04:47
This dashboard view is most beneficial to the CAD users on your project.
04:52
The information displayed in this dashboard is focused around the items in your project BOM.
04:57
The panel on the far left displays a list of the most recently created items for the project.
05:03
This allows you to keep track of what is being created in the BOM for your product.
05:08
Currently, we don't have any created items. We have to add those in.
05:13
Next to it, you can see a list of My Locked Objects.
05:19
This is useful if you are working on multiple items and need to check and see what you have checked out.
05:27
Also, should you be stepping away from a project for a period of time, say for vacation,
05:34
you can check this list and ensure you don't have any outstanding items checked out that will hold up the work for your team members.
05:41
On the far right, we can again see the My Assignments and Activity Stream information that we saw on the Main Project dashboard.
05:49
Again, these panels provide a list of currently assigned tasks and activities that are being completed by the project team.
05:57
The third and final dashboard view that you have available to you is the Project Management view.
06:03
This view is useful for anyone on the project team who needs to track the status of items and the cost associated with the project.
06:11
The main panel in this view lists all of the items in the BOM and shows the status for each item and the associated costs.
06:19
The quantity for each item is also listed.
06:23
It should be noted the BOM items that are listed in this dashboard view are from the latest working filter in the BOM structure.
06:31
Again, we can see the My Assignments panel is displayed as part of this dashboard.
06:37
So we have seen the information in the Main Project dashboard when we log into Upchain,
06:43
and the specific views available under the project specific dashboards.
06:47
I would encourage you to further explore the information displayed and see which view will work best with your role.

00:10
In this video, we will be taking a look at how to work with the information displayed in the project dashboards.
00:16
Specifically, we will look at what you can do with the information in the Main Project dashboard from the point of view of a project manager,
00:23
and then how to view and work with overdue tasks and critical tasks in a project.
00:28
So, let's take a look.
00:37
As the project manager, we need to keep track of the work being done and recognize any obstacles that may arise,
00:43
and help manage any issues that may occur.
00:46
We are currently the project manager for a drone project for our company.
00:51
When we log into Upchain, we can see on the Main Project dashboard the drone project listed in our Favorite Project list.
00:59
When we select the project, we can see in the far right panel an overview of the project and the areas of tasks, items, and documents.
01:07
If we focus on the items, we can see that some of them have been released, but others are still in development.
01:13
If we click on View All, we can navigate over to the BOM and see which items are still in development.
01:23
We can see that the electrical package for the drone has yet to be put through a change request.
01:28
We know from emails with the lead electrical designer that the electrical package is ready to be released.
01:34
To create a change request and have our electrical designer release the package,
01:39
I can click on the top level item, create a project task,
01:45
and assign a task to our My Lead Electrical Designer.
01:50
First, I need to put in the workflow for the task and then put in a descriptive name for the task,
01:57
such as Create Change Requests and Release the Electrical.
02:02
I'm going to assign it to Fynley who is our electrical designer.
02:07
You can see here that the task is associated with the electrical package.
02:13
I'm going to go ahead and click on "Add Task",
02:16
and Fynley will receive an email notification letting them know that they need to create a change request to release the electrical package.
02:26
So now that we have followed up on the items for our drone, we can turn our attention to the rest of the tasks for the project.
02:33
This can be seen on the Main Project dashboard.
02:37
Here we can see the progress of the completed, overdue, and critical tasks.
02:42
As the project manager, we should first focus on the overdue and critical tasks.
02:47
We can see here there are some overdue tasks in our project.
02:51
By clicking on the chart, I get a list of the overdue tasks. We can see here we have one for Create Investigation Requests.
03:00
By clicking on the task, it takes me to the location for that task. Right now, it is sitting in our project plan.
03:08
Communications with John Smith, who is one of our mechanical designers, has indicated he is unable to complete the task,
03:15
and we need to reassign it to another project team member.
03:19
To do this, I can click on the "Edit" button,
03:27
and then change the Assignee from John to Arman.
03:31
Arman has indicated that they will be able to take care of the investigation requests.
03:37
The other thing we want to do is, of course, attach a workflow for the task in order to track its progress.
03:44
Once we've done that, Arman will receive a notification letting him know that he has been assigned this task.
03:54
The other thing we would want to do, of course, is to actually start the workflow so that when Arman logs in,
03:60
it will already be in progress.
04:06
So now that we've taken care of our overdue task, let's navigate back to our project dashboard and look at our critical task.
04:15
Again, we have one critical task listed. It's currently in a draft state.
04:19
In order to view it, again, I need to click on the "Chart" in order to see the list.
04:25
Here we can see we have a critical task around updating the documentation for the project.
04:31
Clicking on it again takes me over to my project plan.
04:35
I can see here that the documentation task is currently assigned to the team as a whole.
04:43
We need to assign a particular project team member in order to get this task completed.
04:49
So again, I need to edit the task and update the Assignee.
04:57
So this time I'm going to pick Kairon and I'm also going to again add in the workflow so I can track the progress of the task.
05:06
I'm going to save the changes.
05:09
Again, Kairon will receive an email notification telling them that they have an assignment they need to complete.
05:24
So, we have seen as a project manager how we can track the status of our project,
05:31
and follow-up with our project team members to keep everything on track.
