In this video, we'll discuss how to create a project, how to add project members and teams, and how to activate a project workflow.
00:19
So, let's take a look.
00:23
Projects are one of the first things you will create in Upchain.
00:27
A project contains everything you need including your team members, bill of materials, project plan, business processes, and documentation.
00:37
To create a new project, we need to click on the "Create Project" button in the user bar.
00:45
Out of the box, there are four project types: Build to Print, Design Project, Engineering, and Template.
00:54
Each of these types can be configured as needed by tenant administrator.
00:60
For our example, we will select "Design Project" for this particular project.
01:06
Once we've selected the project type, we can fill out the information needed for our project.
01:11
This includes the project name.
01:19
A unique identifier, which is a 4-digit alphanumeric value that helps distinguish the project from others in Upchain.
01:31
We also need to enter in a description.
01:35
If needed, also select the customer.
01:40
And lastly, select the workflow.
01:43
The workflow will help manage the lifecycle of our project.
01:47
Once we have all of the information entered for our project, we can go ahead and click on "Create" and create our project.
02:00
Once our project is created, we are taken to the Project Dashboard.
02:06
We will explore the information in this project dashboard in details in a later video.
02:13
For now, our next step is to add the team or project members who will be working on the project.
02:20
To add members or teams, we need to click on the "Settings" icon for the project.
02:25
The panel on the right hand side allows us to add in members, teams, and even suppliers.
02:33
To add in a project member, we need to go over and click on the "Add Members" button.
02:40
In the pop up, we can select the role this person will have on our project.
02:46
For example, Electrical Designer. From there, we'll select the specific person who will be fulfilling that role.
02:55
Once we've selected the person, we can go ahead and click on "Add".
03:00
It should be noted that you can have the same person fulfill multiple roles on the same project.
03:08
For example, Fynley here can be also an electrical designer and a project manager.
03:15
We can also add teams to our project. This is an easy way to add multiple project members at once.
03:22
To add a team, again, we would click on the "Add Team" button and select the team from the dropdown.
03:28
You can see here a list of prepopulated users for our project.
03:34
It should be noted that teams are created and managed by the tenant administrator.
03:39
Any changes to a team will be reflected in every project that team is added to.
03:46
Adding individual members or teams to our project allows us to assign specific tasks to our project members or the team as a whole,
03:56
when we start to create our project plan.
03:59
So now that we've added our team members, the last step is to start the workflow for our project.
04:09
To do that, we need to first click on the "Start Workflow".
04:20
From here, we can go ahead and then activate the project. This will take the project from a draft state into an active state.
04:31
Setting your project to Active means that you and your project members will now be able to view the project in Upchain,
04:38
including all of the Upchain plugins.
04:43
One other feature that we can take advantage of is the "Favorite" checkbox.
04:49
By selecting this checkbox,
04:51
we are adding this project to the main list of projects we see on the main page when we log in to our Upchain tenant.
05:01
So now we have seen how to create a project, add teams and project members, activate a project and its workflow,
05:08
and add it to our favorites.
05:10
The next step is to learn how to set up a project template.

00:09
In this video, we'll discuss how to create a project template, what you can include in a template,
00:15
and how to create a new project using a template.
00:18
So let's take a look.
00:22
To create a template, it is the same process as creating a project.
00:27
We first need to click on the "Create Project" button in the top left portion of our user bar.
00:35
From there, we will have the option to select "Template".
00:42
Once we've selected the template, we get a pop up where we need to enter the name for the template.
00:49
The name should be helpful for users to identify what the template is used for.
00:54
For example, Master Fishing Reel projects.
00:58
We can also enter in a description for the template. This description will show on the project dashboard page for the project.
01:07
The last thing we need to do is select the workflow, which will be part of this template.
01:13
Any projects that are created using this template will have this workflow attached.
01:20
Once the information is inputted, we can then go ahead and click on "Create" to create our template.
01:36
Once the template is created, we can go through the various areas of the project and add in our items,
01:45
such as documents,
01:49
business processes such as requirements, project tasks,
01:57
and even BOM items.
02:02
Under the Settings section,
02:03
we can add in any members or teams that we would like to have added to any of these projects as we use this template.
02:13
So what we're going to do now is take a look at a completed template, our Drone Master template.
02:20
We can see here that this one has been filled out with a list of information,
02:29
including a project plan, which has a list of standard tasks that the project team will need to complete.
02:37
This saves the project manager a lot of time in setting up the project plan.
02:47
Under documents,
02:50
this section of the template contains all of the support documents that we may need as part of our project.
02:56
By including them in the template, we ensure that each project team has access to the same documentation,
03:03
and it helps create consistency across the projects for our company.
03:08
In the Settings section, we can see a list of project team members already added to our project.
03:15
We can then easily add or remove members as needed for this specific project.
03:27
The last thing we need to do with our template is to activate it.
03:31
If the template is not activated, we will not be able to access the template when creating new projects.
03:38
Now that we have a template created and activated, we can use it to create a new project.
03:45
To create a project from a template, it is the same process as creating a project.
03:50
This time, as part of the creation process, we will select our template from the template dropdown.
03:59
Once that is done, we go ahead and fill in the project name, the unique identifier...
04:10
Select the customer, the workflow, and then the last thing we need to do is select the items we wish to copy from the template.
04:19
We're going to do teams, documents, business processes, and Gantt, which is our project tasks.
04:27
Once we've selected all of that, we can go ahead and click on "Create".
04:34
So now that we've created our project, let's navigate through the different sections to see what we have added.
04:40
We can see already that that we have team members added to our project.
04:46
The BOM is empty since we did not select BOM from that list of options when we created our project.
04:54
If we go over to Project Management, we can see the list of tasks have been included.
04:60
Same with Business Processes, our requirements are listed for our project.
05:05
And if we go over to Documents, those same documents are listed here for our project team to get started with.
05:15
So, now that we have created our project,
05:19
the next step of course is to take it from a draft state to an active state by starting the workflow and activating the project.
05:27
From there, the next step is to go ahead and start building out the project plan and assigning tasks to our different project team members.
