The second task in the workflow is learning about Category Administration
00:14
similar to lifecycle Administration.
00:17
In order to perform category administration,
00:19
you will need to log in as an administrator.
00:22
You then select Vault settings under the Tools, Administration menu
00:31
and from the behaviors tab you select categories.
00:40
The configure categories,
00:41
dialog box displays for you to view the categories and
00:45
the category types such as regular folders or projects.
00:53
Category management is the process of customizing categories and rules
00:57
for grouping project data logically
01:00
Grouping by category lets you automatically assign a
01:03
defined set of behaviors and rules to objects.
01:12
Category types are assignable to
01:15
Custom Object Categories, File categories,
01:19
Folder Categories and Item Categories.
01:26
Categories'
01:27
Own defined properties are applied to objects
01:30
when they're assigned to the category.
01:32
For example, lifecycles can be assigned to file,
01:35
folder, item and custom object categories.
01:41
And Revisions can be assigned to file and item categories.
01:48
And User Defined Properties can be assigned to file, folder,
01:52
Custom objects and item categories.
01:59
All objects will be assigned to a category as there is a default for files, folders,
02:05
custom objects and items.
02:07
For example, the base category is shown to be the default for file categories
02:12
with none for lifecycles and revisions.
02:16
Any object that is not specifically assigned to a category
02:20
will be assigned to the default category
02:22
determined for that entity class
02:27
for accessing and viewing category Assignment Rules.
02:31
After logging in to Vault client, as an administrator,
02:34
select Vault settings under the Tools, Administration menu.
02:42
Now select the Rules button from the behaviors tab
02:48
the Assignment Rules dialog box displays.
02:51
You can configure category Assignment Rules for files, items,
02:55
folders and custom objects.
03:01
Assignment Rules govern which categories are assigned to a file, folder,
03:06
custom object or item.
03:08
Assignment Rules are used to automate category assignments
03:12
and Category assignments are determined by rules in the Rule Condition Builder.
03:18
Next you will learn how to create a new rule.
03:21
Set up the category assignment and set rule criteria.
03:24
Using the Rule Condition Builder
03:31
to create a new rule, click the New button,
03:34
then select a category from the category assignment drop down list.
03:38
The example shown here is a rule name of Inventor
03:42
with category assignment set to engineering.
03:49
Now to set up the rural criteria in the Rule Condition Builder
03:53
set the Property to Provider, Condition to is and Value to Inventor.
04:03
To add the rule criteria, click Add
04:06
if you want to apply these rules on object creation,
04:10
ensure the checkbox is selected for this option,
04:14
Then click Apply
04:15
this way when an Inventor file is created,
04:18
the category will be assigned automatically to engineering.
04:25
In this demonstration,
04:27
the out of the box categories are viewed and a
04:29
new assignment rule is applied to the engineering category.
04:33
To view the categories,
04:35
select Tools,
04:37
Administration fault settings and then in the behaviors tab select Categories
04:43
here we see all the category selections
04:46
by selecting file categories we see Base as the default file category
04:51
along with the other file categories.
04:54
Notice that for the engineering category,
04:58
it has the flexible release process and the
05:01
standard alphabetic format for revisions associated with it
05:05
as well as the properties.
05:13
Now looking at the existing Inventor parts in the Vault,
05:17
we see that Inventor files have a category set
05:20
to base with no state or revision assigned.
05:26
Now we will create a new assignment rule for the engineering category
05:34
and we'll call it Inventor
05:45
in the Rule Condition Builder.
05:49
We set provider to Inventor
05:58
and then notice the selected option to Apply rules on object creation.
06:15
Now notice
06:16
in fault
06:18
the Inventor file with provider of Inventor.
06:25
Let's see what happens when we create a new part an Inventor
06:31
and check it into the Vault.
06:54
So the file name there is beginning with EPS.
07:05
And the comment automatic category assignment.
07:15
So now we see the part in Vault client
07:19
and it's automatically assigned to the engineering category
07:22
that uses the flexible release process with a state of work
07:27
in progress and Revision A.
