00:32
but reflect our current expectations and assumptions.
00:38
Before we get started, let me introduce myself.
00:40
My name is Bryson Anderson.
00:41
I'm based out of Utah.
00:42
I've Been in the IT industry for about 14 years now.
00:45
The last 10 years in the AEC marketplace
00:48
working with firms in all aspects of their IT,
00:50
including data management and collaboration for Autodesk
00:53
workflows.
00:56
Welcome to the accelerator Set Folder Structures
00:59
and Permissions in BIM Collaborate
01:01
and Collaborate Pro.
01:03
The learning objectives for this session
01:05
are understand how to enable design collaboration
01:07
for a project.
01:08
Learn how to create teams and design collaboration.
01:11
Understand how to assign permission and access
01:13
to team folders.
01:15
The workflow we're going to follow
01:17
is enable design collaboration for the project.
01:19
Navigate to design collaboration.
01:21
Create teams.
01:22
Select shared folders.
01:24
Add teams.
01:25
Add users to the teams.
01:26
Add any subfolders.
01:28
And add and modify folder permissions in Autodesk Docs.
01:31
So let's go ahead and get started.
01:34
We're going to start with enabling design collaboration
01:36
on the project, the first step in our workflow.
01:40
So design collaboration needs to be enabled on the project,
01:43
in the project settings on the Members tab.
01:46
For at least one of the project administrators,
01:48
you need to go in and enable the product, design collaboration
01:51
as well as Docs.
01:52
Docs should already be enabled if you're using the product.
01:55
Enabling this on at least one project administrator
01:57
enables it for the project, and lets that project administrator
01:60
set it up.
02:00
Subsequently, any user or admin that
02:03
needs access to design collaboration module also
02:05
needs that turned on.
02:06
But in order to set it up, we just
02:07
need to turn it on for at least one project administrator.
02:10
Also note that the users and the administrators do need
02:13
a BIM collaborate license in order to set this up.
02:16
Once it's enabled, we can then go
02:18
to design collaboration and start creating teams.
02:21
This is going to be the second step in our workflow.
02:24
So in Autodesk Docs, right here on this dropdown--
02:27
this dropdown is the app Switcher.
02:29
It'll probably be on Docs or one of the admins.
02:31
If you drop that down and select design collaboration,
02:34
it'll bring it to the design collaboration module
02:36
where you'll get the welcome screen, telling you that it's
02:38
time to set some teams up.
02:39
If you close this Welcome screen and need to reactivate it,
02:42
you can simply click Add team and it
02:44
will bring you back to here.
02:45
Click Get Started to continue.
02:47
So the first thing we need to do is select the shared folder
02:50
location.
02:51
This is a default folder location
02:52
used by design collaboration.
02:55
By default, it's going to create a shared folder
02:57
on the route of project files.
02:58
You can either keep it here or move it
02:60
to a different location.
03:01
But keep in mind, once you set this location,
03:03
it cannot be changed.
03:05
Select the folder you want, and click Continue.
03:07
The next thing we need to do is add teams.
03:09
To add teams, you can either enter a team name here
03:12
and click Add and a path will be given for that team.
03:15
You can also select Existing Folder--
03:17
this button here, if you click Select Existing Folder, it
03:20
up your list of folders.
03:21
If you already have a folder you want to use as the team folder,
03:23
you select that.
03:24
The team name will be the name of the folder.
03:26
If you want to change it, you simply click this pencil icon
03:29
here, and it will let you change that team name.
03:31
Once you've finished adding teams, you can click Close.
03:34
If you have existing folders, you can also
03:36
use this scan for new teams.
03:38
And the system will look for folders that
03:40
look like they could be teams.
03:41
And clicking on New teams discovered,
03:43
will bring up this window where it
03:44
will show you all of the different folders
03:47
that it thinks are teams.
03:48
You can select the ones that you want, and click Complete Setup.
03:51
Once you have your team set up, the next step
03:54
is to add members to the team.
03:56
You can add by company, role or user,
03:58
along with adding permissions for team members.
04:01
We may also need to add people from other companies
04:04
to have things like view access to this folder.
04:06
That can be done here.
04:08
It can also be done on any of the folders inside Autodesk
04:11
Docs on the Files Tab.
04:12
Anything that you do here is mimicked
04:15
in the team folder permissions on that side and vise versa.
04:18
If you change the permissions in Autodesk Docs on the Files tab,
04:21
that's reflected here.
04:23
So set these permissions up based on how they need to be.
04:26
Just like folder permissions, admins
04:28
are going to have default full access to everything.
04:31
When you finish setting permissions,
04:33
go ahead and click Close.
04:35
As you created each team, a team project folder was created.
04:38
But what you may find is you need
04:40
subfolders underneath those, and you
04:42
need to create those manually.
04:44
So we're going to look at adding other team and project folders,
04:46
the final step in our workflow.
04:48
So you'll notice on the right hand side
04:50
here, a screen clip of what some of these folders look like.
04:53
We had different teams here that were named by discipline, MEP,
04:58
architecture, structure.
04:60
You'll notice the shared folder with all of those team folders
05:03
underneath the Shared folder.
05:04
And then, a team folder with a consumed folder underneath.
05:08
That's all default folders set up when we created those teams.
05:11
If you need to add additional folders,
05:13
you can click the ellipsis and add subfolders
05:16
as you need just don't change the name
05:18
or delete the names of these existed auto created folders.
05:21
Once you have the folders created,
05:22
you can then set permissions.
05:24
So if you have permissions that need
05:25
to be set on some of those subfolders,
05:27
you can go ahead and do that right from within the Autodesk
05:29
Docs files tab.
05:30
You don't need to go back to Design collaboration to do it.
05:33
It's mirrored between the two.
05:35
At any time throughout this process,
05:36
you can always go back and edit things, add new teams,
05:39
remove teams.
05:40
This is all stuff that can be configured
05:42
as the project moves along.
05:45
So let's jump in the demonstration of setting this
05:47
all up.
05:50
Autodesk BIM collaborate and BIM Collaborate Pro
05:52
have a tool called Design Collaboration, that
05:55
improves multi-firm project teams ability to collaborate,
05:58
to meet the unique demands of a modern construction project.
06:00
Design collaboration allows them to better control
06:02
how and when data is exchanged and synced between teams.
06:05
So let's look at getting this tool set up.
06:08
So we're going to start off setup here
06:10
in the project admin portion of the Autodesk Construction
06:13
Cloud.
06:13
So in this instance, we've got the project created already.
06:16
The first thing we need to do to get the design collaboration
06:19
module up and working is to enable it.
06:22
So in order to enable it, we need
06:24
to go to the Members tab of project admin of the project we
06:27
want to enable it on, and enable it to start off
06:29
with for at least one admin user.
06:32
We'll add other users later and give them access.
06:34
But let's start by adding an admin,
06:36
so that admin can get it set up.
06:38
So if we go to the Members tab here in project admin,
06:41
we're on the Project that we want to enable
06:43
design collaboration for.
06:44
We're on the Members tab.
06:45
We'll click on a member, and we will
06:48
turn on the design collaboration module
06:50
by just clicking this little slide here.
06:53
That turns on the design collaboration
06:54
module for that user.
06:56
So we can see here there's just one user in the list
06:58
right now access level tells us that user is a project
07:01
administrator.
07:03
So we should be able to use that login to go ahead and set
07:05
up and create the design collaboration
07:07
teams and folders All right let's switch over to the design
07:13
collaboration module.
07:14
So we can get this set up click on this dropdown here
07:17
and switch over to design collaboration.
07:25
All right, we are sitting at the welcome screen.
07:27
So the first time that you come in,
07:28
you're going to see this screen telling you
07:29
that you need to set up teams.
07:30
We'll just go ahead and get started,
07:33
and it will take us to the setup here and begin the setup.
07:36
Now, if we closed this and needed
07:38
to come back into it later, we could also just hit Add team,
07:41
and it will bring us back to this Welcome screen
07:43
to get things started.
07:45
So let's go ahead and get started.
07:48
First, what we're going to do is set up a shared project folder
07:50
location.
07:51
So this is a default folder created
07:53
by design collaboration.
07:55
It's a shared folder where throughout the process of using
07:58
design collaboration, when you share packages out,
08:01
this is that default space they're going to go to.
08:03
I typically use the default location, just a shared folder
08:06
right in their project files.
08:08
If you want to select your own folder,
08:10
you can just say select a different folder,
08:13
browse through and select where you want it,
08:15
or just keep it at that default and continue.
08:21
Now, we need to go ahead and add some teams.
08:23
So let's start off by adding the Structural team.
08:26
We're just going to enter the name of the team that we want.
08:30
We're going to click Add, and it's
08:31
going to go through and create some of these back-end folders
08:34
for us.
08:35
It's going to create a structure folder.
08:36
It's going to create inside that shared folder,
08:39
a structural folder.
08:41
And we'll see now that the team is created.
08:43
We can change that name here.
08:46
It gives the team a color, as well as
08:48
a path to where that team folder is stored.
08:51
So we can just create them here.
08:52
We can also hit Select Existing Folder.
08:54
So if we've got a scenario where a folder already
08:56
exists for a team--
08:57
so in this example, I have an architecture folder
09:00
that's already created.
09:02
We can hit Select Existing Folder drill down here
09:05
through project files, and select the architecture folder
09:07
and say, OK, we want to add a team.
09:10
It's going to use the folder name as the team name,
09:13
and use that path.
09:16
So that's another way that we can create a team.
09:18
So we can also add teams by scanning for new teams.
09:21
So we click this scan for new teams.
09:23
This goes out and looks throughout Autodesk Docs.
09:26
It looks at the set of folders and files
09:28
within to see if it can identify what
09:30
appears to be a team folder.
09:32
If new ones are found, it'll have
09:33
this new teams discovered link here, you can click this link.
09:37
And it's going to show you a list of what it found.
09:39
So in this case, we had an MEP folder with a Revit file in it.
09:42
It identified that as a potential team folder.
09:45
So if we want to add that, we simply just check the box
09:48
and say complete setup.
09:51
That goes ahead and adds that new team.
09:53
So we've got a couple of different ways
09:55
there to add teams--
09:57
with the ad team button by creating a new team.
10:00
Creating a new team will automatically
10:02
create the team folders, selecting an existing folder,
10:05
or by scanning for teams from folders that may already exist.
10:11
Now we've got teams added let's jump over to Autodesk Docs
10:15
here and look at that folder structure that we just created.
10:17
So you'll notice here under project files,
10:19
we have that shared folder that we created.
10:21
And underneath shared folder is all of the different teams.
10:25
It's that shared folder we identified
10:26
in the beginning of the setup.
10:28
As we create a team, a folder is put underneath that shared
10:31
folder for each team.
10:33
We also have the team folders, architecture, MEP,
10:35
and structure.
10:36
And under each one is a consumed folder.
10:39
So that consumed folder is another automatically generated
10:42
folder that is created, and is part of the workflow for using
10:46
design collaboration.
10:47
When you consume a package, that's
10:48
where things will be placed.
10:50
So let's jump back over to design collaboration.
10:54
If we need to modify any of the settings here,
10:56
we can go ahead and just click on the name of the team
10:58
to edit the team name.
10:59
Just hover over it and click the pencil.
11:01
We can also change the color by selecting the color icon here.
11:05
If you just click on it, you can pick whatever color you want.
11:07
These used in the exchange timeline.
11:09
They're used in the design collaboration module
11:11
to identify teams.
11:12
So I usually like to pick colors that
11:14
don't look like each other, so not a orange and red that'll
11:17
look too similar.
11:19
So go with a green, blue, yellow scheme here.
11:24
We can also modify some folder settings here
11:26
if we click on included folders.
11:28
So what this is all of the folders within our team folder,
11:32
whether we want all folders to be included or just
11:34
select folders.
11:35
So if we have folders under that architecture folder,
11:38
but we don't want all of them to be team folders,
11:41
we can hit select folders here, and we
11:44
can pick and choose, unless we don't have any subfolders.
11:47
But if we did, we could select which subfolders we waned to be
11:50
as team folders, which ones we don't.
11:53
And then click Save.
11:55
Let's add some members to our teams now.
11:57
So here on the members column, start
11:59
with the architecture team.
12:01
Click on that number.
12:02
And they will open the member's window.
12:06
We can add members to the teams by their company name,
12:09
individual names or by roles.
12:11
So we do that by just entering here.
12:13
I typically like to do it by company name,
12:16
since teams typically reflect.
12:18
Companies or groups of companies makes it easier
12:21
just to add it by a company name instead
12:23
of adding each individual user.
12:25
This also makes the teams a little more modular,
12:27
so that if you add or remove someone from the company,
12:31
it then removes them or adds them to the team.
12:33
So I typically do it by company name.
12:35
Let's go ahead and start with adding access
12:38
for the architecture team.
12:40
So if we start typing it out, we'll see architectural company
12:43
there, and we can click Add.
12:47
Once we have them added, we can select their permission level.
12:50
So since this is the architecture team folder,
12:52
we'll probably give the architectural team
12:55
edit permissions.
12:56
We could go all the way to manage.
12:58
There are four different levels we could pick from.
13:00
So view just view permissions we can view it's in there
13:03
but can't add anything or edit it.
13:06
Create gives us the ability to add things to the folder.
13:09
Edit gives us the ability to edit
13:11
things that are in the folder.
13:12
And then the last is manage, that
13:14
gives us the ability to change who has access to the folder.
13:19
We'll go ahead and stick with edit here.
13:22
So now, we've given access for the architecture company
13:24
to have access to the architecture team.
13:27
In most scenarios, we also need to add other teams
13:30
at least view permissions into all the other team folders.
13:33
So we're going to go ahead and add the Structural team here.
13:36
So we'll add structural company, and we're
13:38
going to give them just view permissions.
13:41
Since they are not part of this team
13:42
and don't need to be modifying what's in it,
13:44
they just need to view what's inside these team folders.
13:47
So we'll go ahead and give the structural company those view
13:50
permissions.
13:53
We click Add, it's going to go ahead and add them here
13:55
to the list, and it will give us a list of everyone
13:58
that's added.
13:59
So now, we can see, we've got the architectural team
14:01
with edit, the structural company view.
14:04
You'll also notice, I'm listed here as a user.
14:08
And it says inherited and there's no remove button.
14:10
One thing to note is all project admins or anyone with a project
14:14
admin role has defaults full-level access
14:17
to every single folder within the project.
14:20
That's not something that can be modified.
14:22
That is just how the system is built.
14:23
The project administrators will be
14:25
listed on every folder on every team
14:27
with those full permissions, and it
14:28
will tell you it's inherited.
14:29
That's a good way to identify that is a project admin,
14:32
and that's why they have access to that.
14:34
So let's go ahead and close this out.
14:36
We'll now see here on the members
14:38
that there are three members added to the architecture team.
14:40
We can go ahead now, and add permissions
14:42
to these other folders.
14:45
So this access that we've given, if we jump over to Docs,
14:49
we'll see that folder permissions
14:51
is mirrored with those team access settings.
14:54
So for example, if we come here to the architectural folder,
14:57
and we come to our permissions, we'll
15:00
notice that mirrors what we just set there.
15:03
So both the team access settings as well as
15:06
the folder permissions are mirrored with each other.
15:10
So if we make a change here on a folder permission
15:12
that change is then reflected over on the other side.
15:16
So for example, if we were to add someone here,
15:19
we'll just add a user, give them some permissions, and add them.
15:26
And we are to jump back over to design collaboration.
15:29
You can go to our team settings.
15:32
We'll notice now that permission we added is here.
15:36
So what we add on either side is sync back and forth
15:40
between the two.
15:41
So you can add people here.
15:42
As you're creating folders, you can add them
15:44
to the folder permissions, and it will be added back to here.
15:48
So along with adding permissions--
15:50
let's jump back over to Docs--
15:52
we can also add folders, subfolders,
15:55
whatever we need below these team folder.
15:57
So we can add files, we could add additional subfolders,
16:00
then we can permission those out however we want.
16:03
What we don't want to do is we don't
16:04
want to change the team name or change
16:07
the name consumed or shared.
16:08
You'll want to leave those the way they are.
16:10
But you can go ahead and just add folders as you need.
16:13
If you just click on the three dots and add subfolder,
16:16
we could say Revit models, or whatever
16:19
we want this subfolder to be.
16:24
And now we've got a subfolder, we
16:25
can permission that differently.
16:27
Whatever we want to do, once we have the team set up,
16:29
we can go ahead and create whatever structures
16:32
we want underneath them.
16:35
Let's jump back over to the design collaboration,
16:37
back to the settings.
16:39
So now, we've got teams set up.
16:41
We've got people added to those teams.
16:43
We can always come back to this design collaboration
16:45
module in the Settings tab, and modify any of those settings
16:48
that we've made.
16:49
We could also add new teams, change up
16:52
permissions on those teams, or any Other modifications
16:55
we need to do.
16:56
So at this point, we have the design collaboration module
16:58
set up and ready to use.

but reflect our current expectations and assumptions.
