In this lesson, we’ll walk you through how to add suppliers to your Upchain tenant.
In this video, we will show you how to add and manage suppliers in your Upchain tenant. We will also look at the invitation sent to suppliers and how they activate their account.

So let's take a look.

Suppliers can be added to your Upchain tenant to create an easy way for you and your team members,

to communicate with them about the various items you need for your project.

While they will have access to your tenant, they will have a very limited view known as the Supplier Portal,

where you will share information with them such as native CAD files or drawings and any supporting documentation.

Before you can begin speaking with suppliers and requesting information, they first must be added to your Upchain tenant.

It should be noted that adding a supplier to your tenant does not have any impact on your licenses.

Adding suppliers is done by the tenant administrator.

They are the only ones who have access to the administration panel where the suppliers are added.

To add a supplier, we first need to click on our user account and select "Administration" from the menu.

In the "Administration" panel, under the "User" section, we need to click on the suppliers.

In here, we'll see a list of both active and inactive suppliers that we currently have in our tenant.

To add a new supplier, we can go ahead and click on create supplier.

In the pop up, we need to enter the name of the supplier and an email address.

It should be noted that this is a one to one relationship between supplier and email address, so only one address per supplier.

If you do not have an email address, the supplier can still be added and the email address added at a later date.

However, if there is no email address for the supplier, you will not be able to initiate an RFQ or request for quote with them.

Once I have all of the information in for my supplier, I can go ahead and click on create.

Once I click on create, this sends an email inviting our supplier to activate their account in our Upchain tenant.

They will stay inactive until they go ahead and actually activate their account.

So let's see what that looks like.

Here we can see an invitation to our supplier at Olsen Group.

When we open it, they can see we have invited them to join our specific Upchain tenant.

All they have to do is click on the "Join Upchain" button, and they'll be prompted to enter in information.

Their first and last name and set a password.

Once they've entered and confirmed their password, they also need to accept the terms and conditions.

From there, their account will now be listed as active.

Once the supplier is active, you can begin to add them to BOM items and request information from them through the RFQs or requests for quotes.

At some point, you may need to set a supplier as inactive.

For example, they no longer carry the part you require or your contract with them has not been renewed.

To set a supplier as inactive, this is done again by the tenant administrator.

Again, to access the list of suppliers, it is through the administration menu and then under "suppliers" as we see here.

You will need to click on the supplier that you wish to set as inactive, and then the fly out panel will open.

From here, we can click on edit.

In the panel, we can change their status from active to inactive.

From there, we can save our changes.

This will move the supplier from our active list to our inactive list.

Once the supplier is set to inactive, you will not be able to add them to BOM items or engage them in the RFQ process.

Also, it should be noted there is no option to delete a supplier, only have them listed as active or inactive.
