While the color and formatting of cells on your site can be customized
00:13
one by one, Flow Production Tracking also
00:16
provides a way to apply rule-based formatting.
00:19
On your site, you may encounter rule-based formatting.
00:23
It can be helpful to figure out why rules are applied
00:25
so you can better understand what that formatting is trying to tell you.
00:29
First, let's talk briefly about rule types.
00:32
Flow Production Tracking's built in formatting rules,
00:36
rule hierarchy, and copying pages.
00:39
There are two types of formatting rules in Flow Production Tracking:
00:43
page rules and global rules.
00:46
Page rules are page-specific.
00:48
They will only apply to the page they are created on.
00:52
Global rules are applied on all pages on all projects across the site.
00:57
This is useful for standardization.
00:59
There are two default global rules that come prepackaged with Flow Production Tracking.
01:03
Global row rule on people that sets the background color gray,
01:08
if the person's status is deactivated.
01:11
Global row rule on tasks that colors all text blue,
01:15
if the milestone field is checked.
01:18
As in these two examples, rules are always associated with a specific entity.
01:24
If a page has multiple rules, the page evaluates rules in a specific order.
01:29
The top rule is always prioritized.
01:33
If a global rule conflicts with a page specific rule,
01:36
the page specific rule always wins.
01:39
One last thing to mention about page rules is that if you copy a page,
01:44
all of the page specific formatting also gets copied over.
01:48
The rules will also be applied to your new page unless you turn them off.
01:52
Next, let's talk about formatting rows with rules on a page.
01:57
To change the background and text color of a row based on rules,
02:01
right-click over any cell and select format all rows, change row color with rules.
02:06
From this menu, you can easily see if there are any existing rules on this page.
02:12
In this case, the pop out is indicating to us that there are no rules yet.
02:17
Let's create a rule by selecting add new page rule.
02:22
From the editing row rule menu, give the rule a name to easily identify it.
02:27
Select the criteria that will define the rule.
02:33
Select any changes to text, color,
02:35
text emphasis, and cell color that will occur when the rule criteria is fulfilled.
02:40
See a preview of selections in dark and light themes.
02:43
Once you're satisfied with the rule, select save to save the rule.
02:47
The list of rules will display a preview of the rule.
02:50
Select save again to apply the rule to the page.
02:53
Just like any change you make to a page in Flow Production Tracking,
02:57
you must save your page to ensure the rules continue to be applied
03:00
next time you open your flow production tracking site.
03:04
To save your new page rule, select page settings, save page.
03:08
Let's look at some examples of when we might choose
03:11
to format rows with rules. On a versions page,
03:14
a row is green and italicized when a version status is approved. On a notes page,
03:19
a row's background is blue to show the note is a client note.
03:23
You're not limited to having rules that highlight an entire row.
03:27
Rules can also be cell based.
03:29
To set rules on a particular field, right-click over the header of the field
03:33
the rule should apply to,
03:35
and select format rows, change row color with rules.
03:41
Select the same steps as with row formatting by selecting a new
03:45
page rule and filling in the criteria and formatting for that rule.
03:57
Select save to save the rule.
03:60
The list of rules will display a preview of the rule.
04:03
Select save again to apply the rule to the page.
04:06
Remember to save your page if you want your
04:08
new rule to be applied permanently to your page.
04:13
Here are examples of formatting cells with rules. On a task page,
04:18
the contents of the due date cell are read and italicized to show a task is overdue.
04:24
On a task page,
04:26
the contents of the task name cell are orange red and bold,
04:30
to show the time spent on the task has gone over the bid.
04:34
On a contracts page, the background of the assigned to field is yellow,
04:38
when the end date of the contract falls after December 1st.
04:42
Formatting can be a helpful way to track key information at a glance.
