Sharing changes in Vault

Identify the icons and statuses in Vault that show whether a shared file is current or out of date.

In a collaborative design environment, Vault files are being worked on by many different users.

Check In and Check Out functionality is one way Vault controls who has access to all the files.

Vault also provides status icons in Vault Client (shown in the image on the left),

and in the Vault browser (shown in the image on the right),

to help you know if you or others are working on files, and whether the files are up to date.

Once you are at the “sharing your data” stage, understanding these icons is important.

To understand what the icon is telling you, think of the icon as a separate foreground and background icon,

both of which are providing guidance and the status of the file.

The help documentation provides a good list by searching on keyword, “status icons”.

So, as a reminder, once you have completed the design, be sure to always check in the completed files.

Also remember that adding a comment helps let your team members know what's changed.

There is no internal notification system involved when files are checked in,

so you can use e-mail or chat with colleagues to let them know you are done,

and the files are ready for them to use.

If you personally have just received notification the file was updated and checked in,

you can review the file in the Vault client to see the version, who created a version, the date, and a check in comment, as I have shown here.

It is also possible that you might have the modified file already saved locally,

so a red Refresh Vault status icon will appear, indicating that new edits are available in Vault and that your version is out of date.

To get the latest file from Vault, you will want to refresh the file.
