IKO moves from Vault Basic to Professional for Better Control Over Design Revisions and Approvals

Customer challenge

IKO is a world-wide leader in the roofing, waterproofing and insulation industry for residential and commercial markets. A vertically integrated company, IKO operates more than 35 manufacturing plants throughout North America and Europe. IKO is a family-owned business established in 1951, with head office located in Toronto, Ontario, Canada. Committed to investing in state-of-the-art technology and manufacturing to meet the ever-changing needs of their customers, this vertically integrated organization also manufactures and supplies the bulk of their own materials so they can better control quality and demand. As IKO’s products continue to evolve and improve to meet customer demands, so must the manufacturing processes, technology, and equipment.

Project goals

In a context where product design and manufacturing meets plant design, P&ID and BIM, IKO’s North American design and engineering team was using Autodesk Vault Basic to store and lock down in a secure environment all drawings related to process and equipment needed to fabricate the company’s products, as well as the structures that support them. Although the check-in / check-out method did help in preventing team members from overwriting someone else’s work, Management felt the department could highly benefit from a system that would provide: 1. More control over file revisions. 2. A formalized and trackable engineering drawing review and approval process. This is when IKO mandated Graitec, their trusted Autodesk partner, to study their current use of Vault Basic, and data management workflows, for better insight on potential areas of improvement and an appropriate course of action.

Solution

After a series of discovery interviews, leveraging the assistance of Annmeza Szeto and Brendan Sturmey (Corporate Engineering Group), Graitec proposed moving IKO from their Autodesk Vault Basic environment to Vault Professional for the additional capabilities of the software. Implementation services included detailed discovery for configuration requirements, development of workflows and best practices, management training, and user training. Priorities were set on: • data consolidation, • file revision control, • electronic engineering change orders, • vault optimization, • connected workgroups across multiple locations.

Business outcome

Annmeza Szeto, Manager, Engineering and Design, North America explained: “In the past, the review process was all done by email. We would PDF the drawing, send it through email, then have it reviewed. But, aside from the email trail, it wasn’t really a documented process. And people were using incorrect versions of drawings. Having everything locked in a Vault, where everyone must go INTO the Vault to review and obtain drawings, helped improve the control process and traceability. The Vault became the “single source of truth” for drawing control”. Ms. Szeto also added: “Vault product data management (PDM) software with add in for Revit, has help streamline workflows. Everyone can now work from a central source where drawing and data is structured and organized. By improving collaboration, the design and engineering team saves time and significantly reduces errors."

Conclusion

The project also resulted in many other favorable outcomes: productivity, communication, data reuse, simplified processes, enhanced change management process, reduction of errors and associated costs. To conclude, Ms. Szeto says: “Graitec was excellent with helping us upgrade, identify what needed to be upgraded, the server, our computers, software; then help us do all the customization, assisting us by taking our ideas of how we wanted to setup the Vault and making it happen.
